Current president Mr. Aniruddha Sengupta officially inaugurated JUAAH picnic
- Began with best wishes for new year to all JUAAH members & families
- Thanked all who could attend the picnic. This time we had many new members joining in, total number of participants were 100+ including members and their families.
- Requested current General Secretary Mr. Sourav to kick off our annual AGM.

We had “Nobin Boron” for providing new members an opportunity to introduce themselves and interact with others. List of new members attending picnic this time, are mentioned below:

Current Vice President Mr. Debopam Chakrabarti shared his thought process with all
- Began with thanking enthusiastic & energetic JUAAH members
- Gave a brief outline of the activities performed over last 2 years (We had already shared the bullet points in our group, and have attached the same in Annexure)
- Expressed his willingness to step down from his current responsibilities. We thank Debopam da for his contributions towards progress and growth of JUAAH and shaping the execution outline for more than a decade.
- Requested new committee to continue our philanthropic activity with same passion and vigor, as that differentiates us from other organizations like ours and helps us make a difference to the society.
- Expressed his thoughts on Jadavpur University being an International University and therefore the JUAAH thought process should also be not limited to Bengali audience like other traditional Bengali clubs
- Requested more participation from the younger generation

Current Vice President Mr. Chanchal Sarbajna explained activities related to arrangement of Science Symposium & other initiatives to spread educational awareness
- Thanked previous conveners (Madhab Da, Laltu Da, Amal Da & others) who initiated Science Symposium and put in their heart & soul for making this a reality
- Current IICT scientist team (Rajkumar Da, Ujjwal Da, Prakiti Bangal) have played a major role in smooth organizing of this event since the last 2-3 years
- Explained the activities happening during yearly science symposiums and this is one unique activity which not many institutions are organizing
- Chanchal Da explained the need to engage with corporates for obtaining sponsorships & support for Science Symposium

There are many activities where we need active participation from our new members
- Magazine Publication
- Evaluation of student articles (essay, posters etc.)
- Coordination with school

JUAAH has given funding for school projects up to Rs.10000/- per school over the last two years.

We have collaborated with other reputed organizations like KVRSS to promote practical applications of science among students.

There were other ideas like vocational training camps, gifting whiteboards, innovation project ideas and AI activities within schools that were discussed. We will likely start with the whiteboards for schools this year in a few schools and then take it forward based on the reception and success.

Sourav mentioned our collaboration with IICT CSIR Jigyasa that has benefited us in our symposium, and acknowledged our gratitude to them. This was also later on elaborated by Rajkumar Da who discussed how the Jigyasa collaboration can be further scaled up in the coming years. Later during the meeting, Madhab Da also spoke on how we can rethink about the choice of speaker sessions we conduct during the symposium.

We proposed and concluded that a smaller EC group as mentioned above (15 members vs. the earlier 35+) will be responsible for getting the job done at the ground level and work in an agile and efficient manner, more so with the addition of few young & enthusiastic members.

Existing EC AC group will be repurposed to “JUAAH Advisory Committee” except those who are already part of Executive Committee.

Any further changes due to unavoidable circumstances will be evaluated and actioned accordingly
Advisory members continue to play an important role in providing required experience, guidance, and support with sponsorships as well as provide direction & suggestions whenever needed.

We were able to streamline our Annual & Life memberships quite significantly during the last couple of years. It was further discussed and agreed that
- Duration of Annual membership will be considered from one Annul Picnic to the next Picnic, for easy coordination & reconciliation
- JUAAH members who are connected with us for long, are requested to consider Life membership which attracts further discounts during regular events.
- Chanchal Da suggested that we work on our members’ database and try to capture their areas of interest so that we can engage them accordingly.
- We target to publish our member database (life and annual) along with updates till Annual picnic by the end of 2026Q1.

We discussed at length about our yearly cultural program. Based on learnings from previous years, the right time appears to be the last weekend of April.
- In Hyderabad, there are so many programs taking place these days, it have become extremely difficult to arrange an “Uniquely identifiable” cultural program within budget that can attract a large diverse crowd

We have 2 major challenges
- To get artist contacts
- To get right sponsorship connects that can help us scale up our budget
- One proposal discussed was that we can have a break in 2026 and continue our philanthropic activity stream by seeking donation from our members directly.
- Laltu Da shared a few options for the annual cultural program that he was able to get budget details of during his recent Kolkata visit, as requested to him by Sourav and Abhi.
- However, we shall keep exploring multiple options and decide if something suitable is found. Members are requested to reach out to the EC team members if they find any good options that we may want to pursue.
- We propose to have a smaller core team that can evaluate the options for our annual fund raiser cultural program.

Other yearly activities will continue and planned more in depth near the event
- Internal cultural program (There are ideas of executing a play this time; Nilu da has some ideas around this)
- Science Symposium (3rd week of July)
- JUAAH group travel (mid-August)
- Philanthropic work (Round the year)
- EC AC Meetings (will be arranged in gap of couple of months throughout the year, with a few physical meetings)
- Current & elected Treasurer Mr. Abhi Majumdar provided financial updates
- We had quite a few significant accomplishments in the current financial year.
- We completed our external audit for the last three financial years (post Covid, we had a break of two years due to the unfortunate and untimely demise of our earlier auditor Shri Amit Kumar Datta). The same was duly completed by our new auditor Ms. Ravina (CRD & Co.) and the tax returns were also filed for which we have received our refund as well.
- With additional compliance mandated these days for society and trust accounts, we applied and procured our Darpan certificate (issued by Niti Aayog) as well as corrected our PAN name and updated the address – these were mandated for KYC compliance by our bank (Axis Bank).
- Our financial condition is stable. As per unaudited figures as of date for the ongoing financial year, we have approx.15.50 lakh rupees in deposits and overall assets worth 17 lakh rupees.
- We propose to shift our bank account from Axis Bank S R Nagar Branch to Axis Bank Gachibowli Branch for operational ease in the coming months.
- We also plan to explore starting a new banking relationship with a nationalized bank (say SBI) for operational efficiency and diversification.
- We also plan to explore the process for application of 80G/12A/CSR certificate in the coming year(s) as these may help us in pursuing sponsorships for our events – however, these are somewhat cumbersome processes and we may go a little slow here weighing all our options after doing the necessary due diligence.
We concluded the meeting by thanking all JUAAH members once again and handed the stage for on-spot cultural performances and other activities of JUAAH Annual picnic continued.

- After a lot of follow up we obtained QR code and UPI ID for ease of banking transactions
- Fixed Deposit updates - Approx 10L by end of 2022, around 15L by end of 2025
